Muscat Municipality signs an agreement to adopt a Private Documents System for Muscat Municipality

H.E Eng. Mohsin Bin Mohammed Al Sheikh chairman of Muscat Municipality signed today an agreement with the National Authority of Documents and Archives to adopt a system of classifying and schedules of the retention of private documents in the Municipality.

The system is intended to consolidate the retention period of documents & files of one type, and organise the life cycle of files since first creation, covering about (442) topics.
Introducing the system has gone through many stages. It began by preparing the name lists and schedules of retention period of the files types applicable in Muscat Municipality which weren`t covered in the joint system documents.

Director of documents and Archives department in Muscat Municipality Mr Muhammad Al Buraiki said "the aim of the classification system and schedules of retention period is to unite the retention of files and documents of the same type in the Muscat Municipality and to avoid the retention for the same type of documents, in accordance with the provisions of the documents and the National Archives law issued by the Royal Decree No. (60/2007).

  Al Bureiki added "The system works in determining the path that all kind of files or documents pass through since creation to their last stage, while determining the retention periods of documents based on their legal and administrative value". Then continued "the ultimate fate of documents and files will be decided based on their historical value and reference".

Fair to mention that this agreement is part of Muscat Municipality project to introduce the Document management system which is hoped to be launched during the first half of 2019. The Municipality has assigned the electronic system of managing documents to a specialized company in the field of document management systems, that got a certificate of compatibility with the manual of national procedures to manage documents and electronic documents of the National Records and Archives Authority
